Privacy policy

VEDD Accounting & Taxation Services Pty Ltd ("we", "us") respects your privacy. This policy explains how we collect, use, hold and disclose personal information, in line with the Privacy Act 1988 (Cth), the Australian Privacy Principles, the Tax File Number Rule and our obligations as a registered tax practitioner under the Tax Agent Services Act 2009.

What we collect

To provide accounting and taxation services we may collect:

• Contact details — name, address, phone number and email address.
• Identity and government identifiers — date of birth, tax file number (TFN), ABN, ACN and identity documents needed to verify you or meet our legal obligations.
• Financial information — income, expenses, bank statements, payroll, superannuation, investment and property records, and prior tax records.
• Information about your business, its structure, employees and contractors.
• Information about people connected with you (spouse, dependants, business partners) where it is relevant to your affairs.
• Website usage data, such as pages visited and general device information. Our website does not use advertising or tracking cookies.

How we collect it

Most information comes directly from you, in person, by phone, email or through accounting software you authorise us to access. With your consent we also obtain information from the Australian Taxation Office, ASIC, your bank, your superannuation fund and your previous accountant.

Why we collect it

• To prepare and lodge tax returns, activity statements and other documents on your behalf.
• To provide bookkeeping, payroll, financial reporting, advisory and compliance services.
• To verify your identity, as required by law.
• To communicate with you about your affairs, our services and deadlines that affect you.
• To meet our legal and professional obligations, including record-keeping requirements.

We do not sell personal information and do not use it for direct marketing without your consent.

Tax file numbers

We collect and use TFNs only for the purposes permitted by taxation and superannuation law. TFNs are stored securely, disclosed only to the ATO and other bodies authorised to receive them, and are not used as a general identifier.

Who we share it with

We disclose personal information only where necessary to do our work or where the law requires it, including to:

• the Australian Taxation Office, ASIC and other government agencies;
• software providers we use to deliver our services (such as cloud accounting, practice management and secure document storage), who are bound by confidentiality and security obligations;
• your bank, superannuation fund, financial adviser, lawyer or other professional, with your authority;
• courts, regulators or law enforcement where we are legally compelled.

Some of our software providers store data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure the provider handles information in a way consistent with Australian privacy law.

How we keep it secure

We store records electronically in access-controlled systems protected by strong authentication, and keep paper records to a minimum. Access is limited to people who need it to do their work. We retain records for as long as required by law and professional standards, and destroy or de-identify them securely afterwards.

Access and correction

You may ask to see the personal information we hold about you and request that it be corrected. Contact us using the details below and we will respond within a reasonable time. There is no charge for making a request.

Complaints

If you believe we have mishandled your personal information, please contact us first so we can look into it. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or, for matters relating to our conduct as a tax practitioner, to the Tax Practitioners Board at tpb.gov.au.
